Corporate Diwali gifts with each person's name on the label

A box with the company logo gets opened and forgotten. The same gift with the person's own name on it gets kept on a desk. Name labels add very little to the cost, but the planning needs care, because one misspelt name is what people remember. This guide covers the steps.
1. Build the name list first
- Export names from HRMS or payroll, then fix them by hand. Use the name people go by ("Sid Rao", not "Siddharth V. Rao").
- Keep one name per line in a spreadsheet, with columns for name, team and office or floor. That last column decides delivery.
- Ask team leads to check their own team's list. It takes them two minutes and catches most errors.
- Add a few spare blank labels for joiners who start after you lock the list.
2. Pick one short line for the label
A label has room for a name and about 40 characters. Lines that work for offices:
- Thank you for a bright year together
- Grateful for your work. Happy Diwali
- Wishing you and your family a bright Diwali
- To brighter days ahead, together
- For clients: Grateful for your trust. Happy Diwali

3. Work back from Diwali
- Lock the name list about 3 weeks before the day you plan to hand gifts out.
- Approve a printed label proof before the full run. Read every name on the proof, not just the first page.
- Offices often hand out gifts on the last working day before Diwali, so plan delivery 2-3 days before that.
- Plan for courier delays in the last week of October. Mumbai's festive traffic is real.
4. Budget per head
Work out the cost per person, including the label, packing and delivery, not just the item. Personalisation adds a small cost per piece. For 50 or more people, ask suppliers for a per-head price that includes delivery to each office address.
5. Delivery to more than one office
- Split the name list by office before printing, so each box arrives already sorted.
- Name a receiver at each office, with a phone number, and send them the list for that office.
- For remote staff, check home pincodes early. Some suppliers deliver only within the city.
